CURRENT OPENINGS

POSITION:  ACCOUNTING SPECIALIST

Reports directly to Firm Administrator and is responsible for general assistance in day-to-day financial operations of the firm, including, but not limited to:

  • Prepare payroll checks including calculation of deductions, payroll taxes, and paid time off: prepare and submit related reports; administer payroll changes
  • Track paid time off, holiday time, overtime, and time without pay
  • Assist with monthly attorney distribution checks including calculation of deductions
  • Pay state and federal payroll taxes; prepare and submit related reports
  • Report payroll statistics to U.S. Department of Labor
  • Process check requests, expense checks, and accounts payable checks; post client expenses to client files; post to overhead accounts; track partner mileage reimbursements
  • Reconcile checking, trust, and other bank accounts
  • Monitor cash flow, income, and expenses daily
  • Track South Dakota sales tax: prepare report and pay taxes
  • Print monthly reports including Payroll Summary, Deposit Detail, Income Statement, Checkbook Register, and General Ledger, and keep in organized reference books. Scan checks and necessary documents for retention purposes.
  • Administer trust accounts
  • Administer and disburse petty cash
  • Track vendors and payment information for 1099’s; produce 1099’s
  • Produce W-2’s and related reports
  • Prepare and collect year-end data for accountant
  • Document retention as required
  • Running of monthly closing on system
  • Troubleshoot all accounting problems upon request
  • Communicate regularly with coworkers using Outlook email
  • Attend monthly staff meetings
  • Always protect confidential information. Adherence to attorney code of ethics.
  • Always maintain a professional appearance and demeanor.  Respond in a courteous and helpful manner to all client and firm concerns.
  • Back up Accounts Receivable Specialist
  • Perform other duties as assigned by attorneys or Firm Administrator.

Qualifications:

  • BS Degree (preferred) or AA Degree required
  • At least one year experience in bookkeeping/accounting.

Physical Requirements (essential functions):

  • Ability to consistently sit, reach, grasp and pinch in relationship to tasks associated with bookkeeping duties.
  • Ability to consistently do intense visual work with a high level of concentration doing detail-oriented tasks.
  • Ability to consistently communicate effectively when interacting with clients, vendors, attorneys and coworkers.
  • Ability to frequently deliver documents, files, mail, messages, etc. to appropriate attorney(s), and departments.
  • Ability to occasionally transport materials weighing up to fifty (50) pounds throughout the building and outside the building, when needed.
  • Ability to occasionally travel to required locations throughout the city.

POSITION:  PARALEGAL

Reports to assigned Partner and Firm Administrator. Under attorney supervision, are responsible for Paralegal support including, but not limited to the following:

  • Preparation, assembly, reproduction, filing, mailing, and delivery of legal documents and exhibits.
  • Drafting of routine correspondence and legal documents
  • Summary of legal documents and records
  • Scheduling of interviews and meetings as required and conduct interviews.
  • Ongoing maintenance and thorough knowledge of client files and sub-files.
  • Ongoing maintenance of client contacts and information.
  • Ongoing docketing, monitoring, and notice to attorney of deadlines and statues of limitations.
  • Ongoing maintenance of case lists.
  • Discovery response; continuous follow up on all discovery and request matters.
  • Legal research, research of facts, Internet research.
  • Ability to work independently and use independent judgment in work to be performed.
  • Serve as notary public.
  • Requests for records and other documents; service of records.
  • Publication of legal notices
  • Assistance to attorneys in organization and preparation for all aspects of legal process, including court appearances, hearings, and depositions.
  • Attendance at document executions, hearings, and trials as required.
  • Assistance to fellow paralegals as needs and workloads dictate.
  • Assistance to legal secretaries, administrative assistant, bookkeeper, etc. as required to meet deadlines and satisfy client and attorney needs.
  • Assistance in training associates, paralegals, secretaries.
  • Completion and submission of billable time on a daily or weekly basis.
  • Regular communication with coworkers using Outlook email.
  • Attendance at staff meetings.
  • Protection of confidential information at all times.  Adherence to attorney code of ethics.
  • Maintenance of a professional appearance and demeanor at all times.  Respond in a courteous and helpful manner to all client and firm concerns.
  • Performance of other duties as assigned by attorneys or Firm Administrator.

Qualifications:

  • 4-year college degree; or
  • Paralegal certificate; or
  • Equivalent work experience with at least 4 years of experience
  • Note:  this also meets the South Dakota guidelines
